Academic coaching terms and conditions

Professional and ethical framework in alignment with APA psychological principles and international standards in academic coaching and thesis supervision.

By booking a session, the student formally engages Aurora Consulting for academic coaching services and acknowledges understanding and agreement with the following conditions:

1. Authorship and Intellectual Responsibility

The thesis remains entirely the student’s intellectual property and responsibility. Coaching is delivered following the student’s direction and priorities. Each session is prepared based on the agenda submitted by the student at least 24 hours in advance. If the student later changes the thematic or methodological direction, such change is considered part of their academic autonomy and does not invalidate the coaching work already carried out.

2. Definition of objectives in advance

Before each session, the student communicates the specific topics they wish to address. This allows proper preparation and ensures productive use of the session time.

 

3. Scope of the service

The session fee includes both the preparation time based on the materials provided and the live writing/coaching work during the session.

4. Support between sessions

Clarifications and brief guidance outside the session may be offered when aligned with the ongoing work, always within the scope of the agreed process and without replacing structured session work.

5. Interaction with the university tutor

The university tutor is the only academic authority entitled to request structural or content modifications. It is normal and expected that the tutor requests changes after reviewing written drafts. Such feedback is part of the academic process and does not invalidate the usefulness of the material prepared during coaching.

 

6. Role of the coach

The coach provides structure, conceptual clarity and guidance but does not replace the university supervisor nor assume authorship. The intellectual direction of the thesis remains with the student at all times.

 

7. Evolving nature of the document

The content produced during coaching sessions may be reorganized, shortened or reformulated later, either by decision of the student or based on the tutor’s comments. This is an expected and legitimate part of thesis development.

 

8. Coaching as a learning process

Academic coaching is designed to help the student unlock, structure and advance, even if the document undergoes subsequent transformations. The value lies in progress, not in producing a final version on the first attempt.

 

9. Theoretical and methodological suggestions

The coach may suggest conceptual frameworks, authors or approaches. These are to be considered orientative, not prescriptive. The student remains free to adopt, modify or dismiss them according to their academic direction or based on tutor input.

 

10. Joint preparation and active work

Both coach and student arrive prepared based on the agenda. The student brings the sources, articles or drafts; the coach contributes professional guidance, conceptual clarity and academic language refinement.

 

11. Payment and cancellation policy

  • Sessions are paid in advance to reserve the time slot.

  • Cancellations must be communicated at least 24 hours in advance.

  • Same-day cancellations or no-shows are considered delivered sessions, as the calendar slot has been exclusively allocated and preparation work initiated.

  • Rescheduling is possible only if notice is given before the 24-hour window, according to availability.

12. Non-refundable service

Since academic coaching involves allocated professional time, personalized preparation and live intellectual work, completed sessions are non-refundable, regardless of later changes in thesis direction or structure requested by the student or tutor.

Final note on the nature of the process

​

It is understandable that during thesis work, students may experience uncertainty, stress or a lack of clear direction. In those situations, the coach may offer provisional structures and conceptual scaffolding to facilitate movement. These structures should not be interpreted as the definitive thesis layout but rather as intermediate steps to be revised afterwards with the university tutor. 

​

Academic development naturally requires an imperfect first draft so that the tutor can provide feedback and guide restructuring. Choosing to continue, adjust or change direction after each session remains part of the student’s autonomy and responsibility, as the thesis is—and must remain—under their intellectual authorship and academic control.
